When Paper Checklists and Excel Reach Their Limits

Equipment in filling, wine transport logistics, and internal logistics must perform reliably. Fail-safe maintenance is not a bonus; it is a baseline requirement.

For a long time, however, internal processes could not keep pace with the growth of the operation. Working hours and activities were logged in Excel spreadsheets, each department following its own logic, with little visibility for controlling or other teams. A consistent asset structure was missing entirely: no clear hierarchies, no standardised naming conventions, no reliable IDs. The situation around audits and facility inspections was particularly painful. Badischer Winzerkeller holds IFS certification, a standard that is indispensable for supply relationships with food retailers. Yet IFS-compliant facility inspections ran on paper: printed checklists, handwritten entries, manual follow-up. Whether deficiencies found during a walkthrough actually reached the right colleague and were resolved promptly was more a matter of luck than of process.

There was another recurring problem: when employees reported a fault, it regularly happened that two or three people submitted the same issue independently, unaware that it had already been logged. Transparency on the status of open tickets? Non-existent.

The solution they were looking for had to meet several requirements at once: a single central system for maintenance, fault reporting, and quality management instead of isolated point solutions; mobile use directly on-site, including in areas with poor network coverage; digital facility inspections that meet IFS audit requirements and are documentation-compliant; intuitive usability for employees across all departments, from IT to the filling line; and clear assignment of tickets, work orders, and responsibilities.

The shift in how facility inspections are conducted is perhaps the most tangible change. Eva-Maria Reitz from the quality management team describes how IFS audits work today: instead of paper forms, the team opens remberg on a mobile device, documents findings directly on-site, and immediately assigns corrective actions to the responsible colleagues. "The remberg software made things much easier for us, because we can be there on the spot, look at the problem, and assign it to the right colleagues straight away." The outcome even impressed external auditors: "The auditor had not seen this approach before, and he expressed the wish that we continue doing it this way."

For maintenance technician Markus Bauer, the day-to-day experience with remberg is straightforward: "If I'm walking around somewhere, I can just pull out my phone and log damage right then and there."
